At Kartoza, we strive to deliver high-quality products and training services. We understand that circumstances may change, and we aim to offer a fair and transparent cancellation process for both product purchases and training course registrations.
Training Course Cancellation Policy
A.Cancellation by Participant
If you are unable to attend a training course you’ve registered for:
- More than 21 days before the course start date:You may cancel your registration and receive a full refund or choose to transfer your booking to a future course date (subject to availability).
- Between 14 days before the course start date:You are eligible for a 50% refund, or you may transfer to another course date without penalty.
- 7 days or less before the course start date or no-show:No refund will be issued. However, substitutions are allowed—you may nominate someone else to attend in your place at no additional cost.
Note:All cancellation requests must be submitted in writing to seabilwe@kartoza.com.
B.Cancellation by Kartoza
In the event that Kartoza must cancel or reschedule a training course due to low enrolment, instructor availability, or unforeseen circumstances:
- Participants will be offered a full refund, or
- Provided the option to reschedule for a future course date at no additional charge.
Note:Kartoza will not be held liable for any travel, accommodation, or other expenses incurred due to a course cancellation.
Product Cancellation & Refund Policy
A.Digital Products (e.g. Software, Plugins, Downloads)
Due to the nature of digital products:
- All sales are considered final.
- No refunds will be issued once a product has been downloaded, accessed, or a license key has been generated and delivered.
- Please ensure that the product meets your requirements before completing the purchase.
- If you experience technical issues, please contact us at info@kartoza.com so we can assist.
B.Custom Software Development and Product Services
For custom-developed digital products or solutions (e.g. bespoke plugins, software integrations, or tailored configurations):
- If a client cancels the project after development work has commenced, the client will be invoiced for:
- All work completed up to the date of cancellation, billed at the agreed hourly or project rate, and
- Any non-recoverable costs already incurred (e.g. third-party licenses, subscriptions, or contractor fees).
- If cancellation occurs before any development work has started, a cancelation fee may be applicable or agreed upon.
- A detailed timesheet or work report will be provided upon cancellation to support invoicing for time spent.
- We encourage clear communication and planning during project initiation to avoid misunderstandings around cancellations or scope changes.

- Your full name
- The product/course name
- Date of purchase or registration
- Proof of payment
- Reason for the request
- For a refund, we need a confirmation of the Bank account
